How to Communicate a Message Effectively

Communication is at the heart of everything we do. When trying to communicate a message it is vital to ensure you are clear and effective so that your target market receive it as intended. Whether you’re selling a product or sharing an important public health message, you need to know how to communicate your message successfully.

Below are our top tips on how to do just that.

Know your audience

This is one of the most important factors to consider. Before creating your message, make sure you have clearly defined your target audience. If you haven’t already, conduct some research into your target market; find out how they speak, how they interact with media and how they receive messages best. Finding out all you can about them will make it easier to know what method of communication to use to deliver your message. Always have this in mind when writing and creating, and make sure you use language they will understand.

For example, if your message is aimed at the public, avoid using jargon. If you must use complex terminology, consider explaining what it means so you don’t alienate some of your audience.

By knowing how your audience speaks and interacts it will be easier to know how to communicate a message effectively.

Don’t overload your target market with statistics

When your target market is reading or receiving your message they don’t want to be bombarded with statistics. Only use enough data to get your point across – and be selective. Choosing stats wisely can be a powerful way to underpin your message, if it is not overused. It will also seem more authentic. You don’t want to overload your communication as it can deter some audiences.

Choose meaningful data

Make sure the data you do use is suitable for the target market to communicate effectively. Implementing stats or data that the target market can’t relate to will most likely result in your message not being absorbed or understood fully.

Location, Location, Location

Before you start creating your message think about where it should be posted or located. Consider where your audience visits and the places that would be most effective for your brand to have an impact. If you know where it will be communicated, you could link the location of your message to your brand to grab your audience’s attention more.

Think about the messages and advertising you see in places such as the London Underground. There are many related to office workers and commuters in particular areas (like Bank or Canary Wharf), and they work because they relate to regular users of the stations. These companies clearly know their target market and by writing about a relatable subject they engage with their audience more.

Always have your end goal in mind

Before you start thinking about getting your message across, consider what your end goal is. It could be as simple as you want to sell a product, or you want to raise awareness of an issue. If you set your objective up from the start and have this clearly in your mind throughout the process of creating and communicating your message, it will be easier to stay on track.

Be clear and direct

If you need to communicate an important message, don’t skirt around the issue. Be direct and more importantly, make sure you communicate clearly. Depending on the location of the message your audience may not have much time to read a long piece of text. Make it succinct and make it memorable.

If in doubt, ask other’s opinions

If you are unsure if the message you are trying to communicate will be received clearly, then start by testing it out on a sample of people. This could be as simple as work colleagues, friends or family or it could be a small selection of your target market list. By trialling your message to a select few you could receive some valuable feedback. This will also verify whether the language and communication method you have used is effective and suitable for your target market.

Pre-empt and address any concerns

If the message you are communicating could cause some concerns amongst your target market, address these in your messaging. This will save you a lot of time and hassle in the future and will also show your target audience you are empathetic and have considered any potential implications. Delivering important messages can be difficult if you know they may become upset or angry at your messaging. However, by being proactive you can help to connect with your audience, and ease some of their concerns early.
